YEARBOOK STAFF POSITIONS 2014-2015
JOB DESCRIPTIONS/DUTIES
While each staff member will have a title, you will often assume more than one role, depending on the task at hand.
I. Editors-in-chief (Caroline Rabinovich & Sasha Dimov)
The editor in chief is chosen by the advisor, and, along with the managing editor(s), will decide the best use of the talents of the rest of the staff. The editor in chief is responsible for working with the entire staff and for creating a plan to produce a quality yearbook ON DEADLINE. The editor-in-chief should have good leadership qualities. The editor-in-chief is responsible for making sure all the pages, including the cover, end sheets and sections, are done in a timely fashion. The editor is responsible for keeping the advisor informed and asking for help to get the yearbook done well and keep staff morale high.
· Oversee the work of all staff members to assure timely completion of work for deadlines.
· Assist the adviser in conducting all staff meetings.
· Prepare the ladder (order of the book), with assistance from the adviser and staff.
· Monitor, record, and update any and all changes made to the ladder during the year.
· With assistance from the adviser, prepare deadlines for the entire work year. Additionally, the editor will monitor the progress of the staff in meeting deadlines.
· With the advisor, meet with our yearbook rep when needed.
· Be the official spokesperson of the staff.
· Collect, review, and approve all pages prior to submission to the adviser and the printer.
· Leads staff by thinking creatively with story assignments and projects; praising and motivating frequently; guiding by example in writing and managing.
· Directs the layout and design of pages; keeping it consistent with the theme.
II. Managing Editors: (Daniel Meija & Athena Videau)
The managing editor works directly under the editor-in-chief, and handles jobs assigned by the editor in chief. The managing editor will help with the theme pages, read all copy and proofs, help with corrections, manage deadlines, work directly with section editors and writers, teach design and keep the template library updated. Also, may work closely with the photographers and the photo editor to make sure the photography assignments are being fulfilled.
· Must be able to learn the Webease design software, and knowledge of Photoshop is a plus.
· If the editors-in-chief are absent or unable to complete a task, the managing editors will step in and assist.
· Create and maintain a photo assignment page as directed by the adviser and the editors-in-chief.
III. Copy Editors: (Nathanial Tjandra, Oona Albertson)
The copy editor must exhibit excellent writing skills and knowledge of grammar and Journalistic style techniques. The role of copy editor is as follows:
· Develop copy guidelines in conjunction with the Design Editor.
· Throughout the year, act as the key editor, read all copy before final preparation to be sure that it contains no spelling errors, grammatical or style errors (according to the Columbia Scholastic Press Association style guide).
· With the advisor and the editor-in-chief, proof all copy before submission.
· Collect quotes related to the THEME (interviews students / teachers/ staff...)
IV. Design/Layout Editors: (Sasha Dimov, Makayla Wynia, Jazmin W.)
· Work with the Editors-in-Chief to design the layout according to the theme and other specifications.
· Design cover, including the table of contents, interviews, and index
· Direct the general staff on concept development for each section.
· Knowledge of Photoshop is required.
V. Business Managers: (Giselle Perez, Leslie Marroquin, Zoey Reif)
Business Managers plan and implement advertising for ad sales throughout the school, and go out into the community to sell ads. Ads are important and can allow us to do things such as => buy a digital camera, extra pages in the yearbook, etc.
The role of the business managers is as follows:
· Writing letters to businesses, parents, and seniors.
· Managing the passes and cameras.
· Visit small businesses off-campus and recruit new business to purchase ads.
· Coordinate yearbook sales with the rest of the staff, schedule sales in the hallway and at special events (back to school night, etc.)
VI. Photographers: (Gabi Traknter, Lily Hoffman, Sophie Conley, Mika Burke, Chris Conroy, Blaze Tramontana, Evelina Khachatryan, Daniel Meija, Lily Hoffman)
- Be responsible for fulfilling other staff member's photography requests
- Be responsible for fulfilling photography requests within the appropriate time constraints
- Maintain a record of all photographs taken, including the notes to go with the photographs. This must be submitted to the adviser at the end of each deadline.
- Inform the photo editor if photo supplies (batteries) need to be replenished
- Inform the photo editor if the cameras need any attention
- If you know of any school activity that pictures should be taken at, take the initiative and take the pictures
- Follow the journalistic guidelines for photography
- Be responsible for the care and storage of all photo equipment
- Having your own camera is a plus!
VII. Photography Editors: (Mika Burke, Mina Bluthenthal, Sophie Conley) The photo editor's job is not to take all of the pictures, but to make sure all of the necessary photos are taken. The photo editor makes sure that all assignments are shot and on deadline and supervises printing and/or scanning of all photos. The photo editor is responsible for teaching photographers and advising them about how to shoot various assignments. The photo editor must keep an assignment calendar and constantly reminds others about upcoming shoots. Being imaginative, this individual encourages enterprise shooting and shooting of unassigned happenings that would make good visuals of the year.
(Experience with photography and layout preferable, but not required).
· Seeks photos related to each paper’s topic and citing sources in time for layout design
· Develops and posts weekly photographers' assignment sheets. The photo editor should receive requests for a photographer to cover a particular event no later than the Friday of the week preceding the event
· Maintains a record of staff members and the photo assignments each has completed. This must be submitted to the adviser at the end of each marking period.
· Maintains an inventory of all photo supplies (batteries) and submits requests for purchases to the adviser in adequate time for purchases to be made.
· Creates seasonal inventory posters of all sporting events and hangs them in the room as visual reminders of athletic photo opportunities.
· Coordinates photo coverage with photographers and section editors for news, sports, features and special departments
· Maintains archives for photos (and maintain the library of photos online, deleting when more room is needed).
· Ensures all cropping and sizing of images meet quality standards for publication
· Advises and works with design editor on layout of special pages and/or feature pages
· Provides regular feedback, constructive comments and training for photographers
· Evaluates and meets with photographers every other week
· Contributes ideas and writing to staff editorials
· Coordinates the coverage of important school activities.
· Finally, it is often necessary to cover night-time activities such as plays and games, so the ability to attend these photo-opportunities is essential.
VIII. Photography Editor Assistant: (Luke Doorley)
· Assist the Photography Editors
· Help maintain the archive of photos
· Assist in cropping and sizing of images
· Assist in maintaining the photography calendars for important events, sport games, etc.
IV: People Editor: (Jawad Hebbar, Lily Hoffman)
· Consistently check photos in the library for correct names (this includes candid, group photos, etc.)
· Make sure that everyone is featured in the yearbook at least once( cross-reference student lists from each grade)
· If there are photos missing from sections, the People Editors are responsible for letting the Photographers and Photography Editors know.
· Additional duties: Very important! Responsible for obtaining and maintaining a list of names for: All students, All faculty, All coaching staff, All administrative staff
· Prepare a master list of names SPELLED CORRECTLY in alphabetical order for the purposes of reference and indexing
· Prepares final index at the end of the year for submission to publisher. Index listing includes:
- Names of all persons mentioned in yearbook
- Listed in any caption
- Mentioned in any copy
- Quoted
- Names of all advertisers
- List of all topics covered
X. Sports Editors: ( Lily, Sophie) Sports editors produce a significant and popular section of the yearbook. It is a big job to make sure:
· Collects information from each team (players, etc.) Interviews players for special sections.
· Makes sure that team and action photos are taken
· Generates story assignments for sports on a daily basis and weekly basis; secures coverage of breaking news sports events
· Designs sports pages
· Works with managing editor to coordinate material for special sports section
· Takes story ideas, tips and concerns and responds quickly and efficiently
· Coordinates photo coverage with photo editor
· Requests creation of logos and graphics from design editor as needed
· Meets with sports instructors regularly
· Writes sports news, features and investigative reports as needed
XI. Clubs/Organization Editor: (Nathaniel T., Jawad, Blaze)
· Arrange all club photos to be taken- schedule times and send photographers out on assignment
· Identify names on all group shots
· Help determine a coverage plan for club pages (interviews, short articles, etc.)
XII: Staff Writers (ALL)
· ALL Staff members are responsible for individual spreads each deadline (Ms. Clo will have a schedule for this).
· Staff writers are responsible for interviewing, reporting, writing, rewriting, designing spreads according to design specifications, ordering photos, writing captions, getting photos cropped, getting story on spread, writing headlines and having spreads approved on deadline.
· Staff writers collect quotes related to the THEME (interviews students / teachers/ staff...) for articles and submit to the editors of each section (Sports, Clubs, etc.)
XIII: Sunshine Editors :) (Mika Burke, Blaze T.)
· Sunshine editors are responsible for planning parties and events
· Create a birthday calendar with all staff members birthdays
· Plan holiday parties and fundraisers for yearbook
Other important jobs:
Senior Editors: Need two seniors to be in charge of senior sections (including: Baby photo pages, Senior Polls, Senior Panoramic, etc.) (Athena, Caroline)
